A domain name, web hosting and a website are connected, but they are not the same product. Understanding the difference helps business owners avoid unexpected renewals and prevents a supplier relationship from becoming a lock-in.
What is a domain name?
A domain is the address people type to reach your website, such as example.co.za. Registration gives the holder the right to use that name for a fixed period, provided it is renewed. It does not automatically include a website, storage or email.
What is web hosting?
Hosting is the server space and supporting service that stores website files and makes them available online. Plans may differ in storage, traffic, backups, email, databases, security and support. A business can register a domain without buying hosting, or point a domain to hosting supplied elsewhere.
Who should own the accounts?
The business should be recorded as the registrant and should have access to the domain, hosting and website administration. A developer may manage the technical work, but the client needs a documented way to regain control. Use a business email address for important notices and keep recovery details current.
Questions to ask before paying
- What is the first-year price and the renewal price?
- Does the amount include VAT?
- Is email included, and how many mailboxes are provided?
- Are backups included and how long are they retained?
- Who is the domain registrant?
- Will I receive hosting-panel and WordPress administrator access?
- Which licences renew separately?
- What is the cancellation or transfer process?
Keep a simple ownership record
Record the registrar, hosting company, domain expiry date, billing contact, nameservers, website administrator and licence renewals. Store passwords in a secure password manager rather than sending them repeatedly through chat. Enable multi-factor authentication when the provider supports it.
Moving to another provider
A move may involve a domain transfer, nameserver change, website copy, database, email migration and DNS records. Plan the sequence carefully to reduce downtime. Do not cancel the old hosting until the website and email have been verified at the new destination.
Watch for common problems
Problems often begin when a former supplier controls the registrant email, renewal notices go to an inactive address, no recent backup exists or the owner has never received administrator access. Resolve ownership and backup questions before an emergency.
A clearer purchasing decision
Buy the services the business actually needs. Domain-only registration is valid when hosting is not required. A website-and-email package should clearly show both the hosting charge and any domain charge. Renewal prices must be considered from the start, not only promotional first-year prices.
